This individual will be responsible for providing strategic and administrative support to the Chief Executive Officer (CEO) and the Head of Human Resources (HR) of GMO. This person will be expected to develop a strong rapport with the CEO and Head of HR and, over time, be able to proactively anticipate their needs.

Strategic:

Support the CEO and Head of HR in strategically allocating and utilizing their time in the context of key goals, including:

Determine and/or recommend prioritization and alternative sources to all those who request time/meetings.

Proactively review their schedules to ensure time is allocated correctly and anything that can be handled by someone else is moved off their docket.

Perform triage on daily issues that fall under their purview but don’t require their input or active engagement.

Brief the CEO on purpose of and context for upcoming meetings and schedule preparation time if needed.

Over time should be capable of intuiting needs of CEO and his senior team in support of their decision-making process. This will include gathering data and relevant information in advance of it being requested and developing a deep understanding of the organization to quickly ascertain where data or information resides and how best to obtain it.

Coordinate with various teams to prepare meeting materials for Board meetings, Partner Update meetings, Firmwide meeting, and Leadership Team meetings.

Assist where needed in the organization, planning and execution of GMO’s Firmwide Meeting and other events attended by the CEO, including taking meeting minutes as needed.

When appropriate, act as representative of the office of the CEO and/or HR Team on internal GMO matters.

Participate in ad hoc projects when needed.

Administrative:

Heavy calendar maintenance and meeting coordination with both internal and external parties. Work closely with other team administrators on meeting coordination for CEO, Head of HR and other members of senior leadership.

Assist the extended HR team with meeting coordination as needed.

Arrange travel – both domestic and international, for the CEO and Head of HR.

Manage incoming/overflow of phone calls directed to the CEO.

Prepare expense reports and reconcile AMEX bills.

Create and maintain management team and HR strategic planning documents in Microsoft Teams

Act as a point person when the CEO or Head of HR is traveling with respect to organizing meetings and responding to various requests in a timely fashion.

Create and/or edit various PowerPoint presentations on a monthly, quarterly, or ad hoc basis.

Review and edit various documents and correspondences.

Assist the Independent Directors with meeting coordination and ad hoc requests.

Assist the CEO and Head of HR with personal matters on occasion.

Requirements:

BA/BS or equivalent

Minimum of 10 years of experience, including experience supporting a c-level executive

Previous financial services experience or general knowledge of the financial services industry strongly preferred

Strong organizational skills with an understanding of how to prioritize and operate effectively amidst changing demands

Ability to operate independently and exercise judgment – specifically in understanding GMO’s business

Superior client service skills

Strong Microsoft skills, including Outlook, PowerPoint, Excel, and Word, Teams

Excellent verbal and writing skills a must

High level of attention to detail a must

Proven ability to handle sensitive information

High level of professionalism and ability to represent the firm’s senior leadership

Proactive, self-motivated, and willing to work without a lot of direction

Flexibility with working hours (the ability to come in early/stay late if needed)

Strong sense of urgency

Positive and service-oriented attitude
